I, as the artist, retain full copyright over all artwork produced. I reserve the right to display the final artwork and any work in progress pictures, on social media and for use in advertising and marketing. This includes, but is not limited to, social media, business cards, leaflets and flyers. In the instance that your own photographs were used as references I will not reproduce your artwork without your prior consent for merchandise such as prints. Clients who do not wish for their artwork to be shared online must notify me upon booking the commission. If the artwork is a gift, I will refrain from sharing any images before it has been gifted.
Changes to the portrait
I will keep you updated (unless requested otherwise) as I complete the portrait. You will receive an initial line sketch to approve the composition and further updates as the portrait progresses. If, upon receiving these updates, there is anything that doesn't look quite right you can let me know at this stage so that changes are able to be made.
I will send you a final picture to approve before the portrait is posted to you and at this point small changes may be possible. Large changes that require me to redraw all or large parts of the portrait may not be possible at this stage and large reworks may be subject to additional cost.
Once you receive the portrait you have 7 days to inform me of any changes that you think are necessary. Should this be the case, the client is responsible for covering postage costs.
Payment
A minimum 30% deposit is required to secure your commission and must be paid before any work commences. Full payment must be received before the portrait is to be shipped. Payment may be made via PayPal or online bank transfer for UK payments.
Cancellations
You have 7 days from the payment of the first instalment to request a cancellation for a full refund. Please contact me via email to request the cancellation (sophielouisecreates@gmail.com). Your place on the waiting list will be lost when the cancellation is requested.
After 7 days and or after the portrait has been started any monies paid will be retained to cover the artists time and any work undertaken.
Once started, portraits are non refundable. I want you to be happy with your portrait so if there are any issues or concerns, don't hesitate to reach out.
Shipping
Portraits are sent within 1-2 working days after completion via Royal Mail First Class Tracked service unless otherwise stated to ensure safe delivery - you will receieve the tracking number once the portrait has been posted.
UK postage is included in prices shown, please enquire for postage costs elsewhere.
I package my portraits to avoid damage in transit but should this occur please contact me as soon as possible with photos of the damage. If irreparable damage does occur during transit the portrait will be redrawn at no additional cost to you.
Portraits usually arrive within the UK on the next working day, however delays are possible and you can use your tracking number to stay up to date on the portraits journey. In the unlikely event that your portrait is lost please get in touch with me in the first instance and I will lodge an investigation with the mail service. If the portrait is not recovered it will be redrawn at no additional cost to you.
The buyer is responsible for any import duty that the destination country may require.

When you contact me via my website, as part of the process, I collect personal information you give me such as your name, and email address. If you engage me in a commission via my website, additional information such as your postal address may also be collected. Your personal information will be used for the specific reasons stated above only. If you choose to subscribe to my email list you I will collect your email address

Initial contact will be made by you via my Contact page or via email. I will respond via email and any communication will only be to fulfil any obligations that occur in relation to our conversations. I will communicate with you to provide Customer Service (answer queries or discputes) and in relation to any sale or commission. Email conversations will be deleted after one year and only information required for my legal obligations (such as for tax purposes) will be kept.
